Cancellation & Refund Policy

Transparent operational frameworks governing subscription pausing, cancellation notice, completed work treatment, and commercial refund rules.

Version: v0.1-prelaunch-draft
Draft Date: October 2026
Status: Draft Under Commercial & Operational Review
Section 01

Operating Philosophy & Labor Allocation

CareerButton provides a high-touch, human-managed service. Unlike automated software tools that blast generic resumes with near-zero marginal cost, every application managed by CareerButton requires dedicated specialist labor: in-depth employer research, tailored resume bullet hierarchy, custom cover letters, and human verification before portal submission.

Because search specialist time is reserved and allocated to each enrolled client, our cancellation and refund framework is designed to balance candidate flexibility with operational labor commitments.

Section 02

Initiating Cancellation or a Service Pause

Clients will be able to modify, pause, or cancel their monthly engagement through clear, transparent mechanisms without artificial retention obstacles:

  • Direct Specialist Notice: By sending written notice to the assigned dedicated career specialist during search calibration check-ins.
  • Client Portal Controls (Upcoming): Directly via the self-service billing management area in the candidate portal once live provisioning is complete.
  • Search Pausing: Clients who enter advanced interview stages or need temporary leave can request a service pause rather than a full cancellation.
Section 03

Notice Periods & Billing Cycle Alignment (Pending Decision)

Policy Decision Awaiting Final Approval

The exact cancellation notice window (e.g., whether cancellation requires 7 days, 14 days, or simply notice prior to the monthly billing renewal date) is an unresolved business decision currently under review by executive management.

CareerButton does not publish arbitrary cancellation notice deadlines as established facts until operational scheduling procedures are finalized. Clients will receive transparent notice of the approved policy prior to signing formal onboarding agreements.

Section 04

Treatment of Completed & In-Flight Applications

When a cancellation or pause request is submitted, work product is handled with total clarity:

  • Submitted Applications Are Irreversible: Applications that have already been submitted to prospective employer portals cannot be recalled, withdrawn, or reversed by CareerButton.
  • Permanent Candidate Ownership: The client retains permanent, unencumbered ownership of all tailored resumes, custom cover letters, and employer submission confirmation receipts generated during the engagement.
  • In-Flight Sprints: Any application packages that have been researched and tailored prior to receipt of cancellation will be finalized and submitted (subject to candidate sign-off) to ensure no research labor is wasted.
Section 05

Capacity Roll-Over vs. Refundability (Pending Decision)

Our Services & Pricing model emphasizes match quality over vanity volume. When high-fit open roles in a client's specific niche are seasonally quiet, application capacity rolls over into subsequent weeks during an active retainer.

Commercial Policy Question Under Review

Whether unused rollover capacity is eligible for pro-rata refunds upon total service cancellation, or whether it expires upon termination of the active monthly retainer, is an unresolved commercial decision that will be confirmed prior to commercial launch.

Section 06

Refund Eligibility & Extraordinary Cases

Because monthly retainers pay for human specialist research time and custom drafting, monthly fees are generally considered earned as specialist hours are expended.

However, CareerButton is developing structured criteria to evaluate refund eligibility under extraordinary circumstances, including:

  • Inability to identify minimum viable job postings matching the agreed search matrix during initial onboarding.
  • Mutual agreement during the initial onboarding calibration that service parameters cannot be met.
  • Administrative billing discrepancies or accidental duplicate charges.
Section 07

Billing Dispute Resolution Process

CareerButton encourages open, candid communication. Clients who have questions or concerns regarding billing charges are encouraged to contact their dedicated search specialist or operations management directly before initiating external payment provider disputes.

We commit to reviewing billing inquiries in good faith against actual specialist hours expended, materials generated, and verified application receipts logged.

Section 08

Summary of Policy Decisions Awaiting Approval

To maintain absolute fidelity with our Claims Register, the following commercial terms are documented as awaiting executive and legal approval:

Outstanding Commercial Decisions

1. Cancellation Notice Window

Awaiting operational confirmation: immediate notice at period end vs. required advance notice window.

2. Unused Rollover Capacity Treatment

Awaiting commercial confirmation: expiry upon subscription termination vs. pro-rata credit.

3. Refund Processing SLA

Awaiting payment gateway selection (Stripe / merchant provider) to define exact processing turnaround days.

4. Formal Legal Counsel Review

Statutory terms, consumer dispute terms, and merchant agreement harmonization pending final execution.
